Policy and Procedure Statements
Preamble. The University of British Columbia’s (UBC) Midwifery Program (BMw) and its Internationally Educated Midwives Bridging Program (IEMBP) are jointly referred to as “UBC Midwifery” or the “Program”. UBC Midwifery follows all UBC regulatory requirements and applicable UBC policies.
Background. Students may experience an unanticipated event or circumstance that may interfere with their ability to accomplish academic work. The Course Lead will first review these circumstances with the Undergraduate Program Lead, and with the Director of the Program when relevant, on a case-by-case basis. When appropriate, a student may be granted an Academic Concession.
Policy
Assignment Extensions
- This policy does not apply to students who are registered with the Centre for Accessibility and have formal accommodation in place related to assignment extensions or exam accommodations.
- Extensions may be granted for extenuating circumstances at the discretion of the Course Lead.
- Documentation may be required to support the request for an extension.
- A request for an extension must be made at least 48 hours prior to the assignment’s due date. Weekends are not included in this calculation. For example, if a paper is due on a Monday, the request for extension must be made no later than the previous Thursday.
- Certain assessment processes such as midterm and final exams, OSCEs, and presentations are not eligible for extensions.
Grace Days
Students may use 3 grace days (72 hrs.) per course for penalty-free late submissions, for eligible assignments. It is the student’s responsibility to communicate with the faculty member marking the assignment in writing, at least 48 hours (about 2 days) before the deadline (see above for calculation of time periods) of their plan to use grace days. The communication should include the number of days requested.
Grace days may not be used in certain assessment processes such as midterm and final exams, OSCEs, and presentations. It is the student’s responsibility to determine in advance whether grace days will be accepted for any given assessment.
Exam Deferral
- The Program complies with the UBC Standing Deferred and Supplemental Examinations Policy. Information related to the process of applying for an exam deferral can be found here: Standing Deferred and Supplemental Exams.
- It is the student’s responsibility to seek an extension by contacting the Course Lead.
- An exam deferral request is only granted for extenuating circumstances or those outlined in an approved Academic Concession. A standing deferred exam is written later.
- A deferred exam will be different than the original exam administered.
Penalty for Non-Compliance with the Late Assignment & Exam Deferral Policy:
Late Assignments: In accordance with common UBC procedures, an academic penalty of five percent (5%) per day will be applied to late submissions. The deduction is calculated off the assignment total and a day constitutes 24 hours, or portion thereof. Weekends are included in the calculation of days.
Example: If an assignment is worth 10 marks, the student will lose 0.5 marks for each portion of a 24-hour period, for which it is late. If the student’s paper grade is 8/10, and the paper was submitted 22 hours late, the student receives a grade of 8 – 0.5 = 7.5 marks. If it was 36 hours late (equivalent of 2 days late) late the mark is 8– 1 = 7/10. This penalty is not enforced for requested grace days approved by the Course Lead.
Exam Deferral: Failure to comply with the UBC Academic Concession Policy and process for Standing Deferred and Supplemental Exams will result in failure of any missed exam.
